Privacy Policy

Club HQ is a scheduling, tips and pay tool for nutrition clubs, run by Club HQ (“we”). This policy explains what information Club HQ keeps, why, and the choices you have.

What we keep

• Your sign-in email, and a scrambled (hashed) version of your password and iPad PIN. We can't read either.
• Roster details a club's owners enter: names, emails, phone numbers, roles and pay tiers.
• What the club records in Club HQ: schedules, hours worked, tips, pay rates, weekly pay and check numbers, daily sales and customer counts, and monthly expenses.
• If a club connects QuickBooks Online: its company name, the monthly totals from its Profit and Loss report for each expense account, and the keys QuickBooks gives us to read that report.

How we use it

Only to run Club HQ for the club it belongs to: showing schedules, working out pay and tips, and giving owners reports and estimates. Each club's information is kept separate, and people see only what their role allows. We don't sell information, show ads, or use it for anything else.

QuickBooks Online

• A club's owner connects QuickBooks by signing in on Intuit's own page. We never see or store the QuickBooks password.
• Club HQ only reads reports; it never changes anything in QuickBooks.
• The connection keys are encrypted before we store them and are never shown to anyone, including the club's owners.
• Owners can disconnect at any time, in Club HQ or in QuickBooks. We then delete the keys. Expense totals already brought in stay in Club HQ until an owner deletes them.

Who else handles it

Club HQ runs on Vercel (hosting) and Supabase (database). They store and process information for us under their own security and privacy commitments. If a club connects QuickBooks, information comes from Intuit. We share information with anyone else only if the law requires it.

How we protect it

Everything travels over encrypted connections (HTTPS), and it's encrypted where it's stored. Access is limited by role: for example, staff can't see anyone's pay or tips, and only a club's owners can see its expenses. No system is perfectly secure, but we work to protect what you trust us with.

How long we keep it, and your choices

We keep a club's information while the club uses Club HQ. You can ask to see, correct or delete information about you by contacting your club's owner or emailing hello@joinclubhq.com. A club can ask us to delete all of its information.

Changes

If we change this policy, we'll update the date above and, for important changes, let club owners know.
